The Office Manager will oversee day-to-day administrative operations and serve as the critical link between our field and office teams. This position is hybrid, mostly remote, with periodic in-person responsibilities at our Prospect Heights warehouse and, eventually, our Deerfield headquarters. You'll be essential in streamlining systems, supporting project documentation, and helping us stay ahead as we grow.
Key Responsibilities
- Manage administrative functions related to construction operations.
- Maintain project documentation: contracts, permits, insurance, and compliance.
- Utilize Procore, PlanHub, and cloud-based tools to manage files and communication.
- Onboard subcontractors and track vendor documents (e.g., COIs).
- Assist with scheduling, procurement tracking, and document control.
- Answer calls, manage emails, coordinate deliveries, and office communications.
- Organize company files and manage office supplies and equipment.
- Prepare internal reports, meeting agendas, and assist with bookkeeping.
- Ensure deadlines are met across departments and stakeholders.
- Liaise between field and office teams to resolve workflow issues.
Qualifications
- 3 or more years of office or administrative experience in construction preferred.
- Proficiency with Procore, PlanHub, Google Workspace or Microsoft Office.
- Strong communication, multitasking, and organizational skills.
- Detail-oriented, professional, and comfortable with tech tools.
- Experience with bookkeeping or QuickBooks is a plus.
- Must reside in the Greater Chicago area and be able to travel to sites/office as needed.
